Appointment coordination
We record service requests, confirm the information a garage needs and arrange appointments within its booking rules. The booking record includes the vehicle, driver contact, requested work and the person authorised to answer approval questions.
A preferred time is a request until the workshop confirms availability. We keep that distinction clear when updating the driver or fleet contact.
Customer calls and updates
Routine contact includes appointment confirmations, changes, drop-off instructions and messages from the workshop. Updates are passed using the information supplied by the garage; we do not interpret a diagnostic result or recommend a repair.
Callback logs
A shared log records why a callback is needed, the current owner and the next action. At handover, outstanding items are separated from completed contact so the receiving service adviser can see what still requires attention.
Estimate and authorisation routing
When a customer asks about an estimate, the question goes to the service adviser. When a fleet requires an approval, it goes to the designated fleet contact. We document the referral and any instructions received.

Cover arrangements
Assignments can cover planned staff leave, seasonal booking demand or routine administrative follow-up. Hours, contact channels, expected volumes and the escalation route are agreed before cover begins.
We scope work around the actual desk tasks. A garage needing appointment cover has different requirements from a fleet needing a consolidated visit schedule.

Support for a busy front desk
A service adviser may be checking a vehicle in, speaking with a technician and returning a customer's call in the same hour. Routine booking and message tasks can be separated from the technical conversation.

Use the booking rules you already have
We need your service categories, availability rules and the fields required for a booking. If a job needs a workshop decision before it can be scheduled, it is referred rather than placed into an assumed time slot.
Start with a contact guide
The guide should identify the main adviser, a backup and the response to use when neither is available. It should also state which enquiries can be answered directly and which must always be referred.
For a temporary assignment, agree the cover dates and the final handover before the first day. Unresolved callbacks should have a receiving owner when cover ends.
Check the handover, not just the call count
A useful record explains what the customer asked, what they were told and what still needs a decision. We review early handovers with your nominated contact so the notes fit the way your desk actually works.
Work that needs a different arrangement
Diagnosis, repair authorisation, warranty assessment and parts selection remain outside routine administrative cover. A customer describing a serious fault is routed according to your instructions; our agents do not advise them whether a vehicle is safe to drive.
For small fleet operators
Keep service visits visible
Small fleets often schedule maintenance around work that cannot simply stop for the day. A clear appointment record helps the fleet contact see which vehicle is booked, who is taking it in and what the workshop expects.
Westgrove coordinates the administrative details with your chosen garages. We do not replace your maintenance policy or make technical decisions for your fleet.
Appointment planning
We collect the vehicle identifier, requested service, preferred dates and driver availability. Booking is confirmed with the garage before the driver receives instructions.
Your fleet contact sets the priority and any rules about where work may be booked. Where availability conflicts with an operational requirement, the decision comes back to that contact.
Driver communication

Estimate questions and approvals
Some visits require a nominated approver before additional work can proceed. We record the contact and route the workshop's question. An administrative note is not an authorisation unless the designated approver has supplied that decision.
